Office Fit-Out in Jeddah: Coordinate the Scope Before Handover

Before comparing office or branch fit-out quotations, connect every item to an agreed drawing, quantity and acceptance point.

Illustrative scenario: a new office ceiling is finished when the meeting table moves and a diffuser conflicts with a light. This is an explanation, not a claimed customer project. It shows why decisions must be coordinated before finishes conceal the work.

An office fit-out in Jeddah should start with the workplace: users, meetings, reception, storage and equipment. Translate that brief into an agreed layout and written scope before each trade interprets the drawings independently.

THE KEY IDEA

Coordinate early, inspect before concealment and accept the office against how it will actually be used.

01

Set the layout before the service points

Confirm furniture dimensions, door movements and circulation together. Check where power, data and equipment must be accessible. Record what remains, what is removed, and whether each item includes supply, installation or owner-provided equipment. “Complete fit-out” is too broad to resolve those decisions.

02

Use approval points between phases

This table is a coordination framework, not a universal construction programme. Actual sequencing depends on the existing building, approved design and building-management requirements.

PhaseEvidence needed before proceeding
Survey and layoutMeasured conditions and agreed furniture positions
Service coordinationCombined lighting, HVAC, data and access locations
Before concealmentRequired inspections, records and resolved clashes
Finishes and equipmentApproved samples and protection of completed work
HandoverOperational checks, defects list and maintenance information
03

Make concealment an explicit decision

Review the reflected ceiling plan across the included disciplines. Equipment must fit its opening and remain serviceable using the access required by its manufacturer. A unit fitting inside a void does not, by itself, demonstrate maintainability.

WBDG treats commissioning documentation as a project-long record of requirements and verification. A practical application is to record what was inspected, who accepted it and what remains unresolved. Photographs support that record; they do not replace required tests.

04

Test the workplace at handover

Check the agreed lighting, data and HVAC functions, then operate doors and drawers around the installed furniture. Assign every defect a location, responsible party and closure record. Keep missing documents visible alongside physical defects so the operating team receives usable information.

For a comparable quotation, provide available plans, photographs, intended occupancy and the elements to retain. Earlier clarity improves scope comparison and makes later changes easier to assess.

What does the quoted rate per square metre include?

Ask which area the rate covers and which works it includes. Office floor area alone does not describe partition quantities, electrical points or the condition of existing air conditioning. A total price becomes easier to assess when it links to an item schedule showing what will remain and what will be replaced.

ItemClarify in the quotation
FlooringSquare metres and existing surface condition
PartitionsMeasurement basis, height and openings
ServicesItem count or length and included testing

Mark quantities as site-measured, drawing-based or provisional. Where the client supplies materials, separate supply from installation and identify who receives and protects them. Describe concealed conditions as items requiring verification and written approval. This creates a common basis for comparison and makes the effect of a later scope change visible before work proceeds.

Questions & acceptance checklist

  • Agreed furniture and service-point layout.
  • Coordinated ceiling and access arrangement.
  • Inspection records before concealment.
  • Operational checks and maintenance documents.

Before you decide

Should furniture be purchased first?

Agree its dimensions and service needs first. Final procurement should follow layout approval and delivery-access checks.

Can HVAC move after ceiling closure?

A specialist must review the design, drainage, services and finish implications before the change is accepted.

Does operation testing replace concealed-work inspection?

No. They verify different aspects of the work and should both be defined in the project plan.
